Enhancing Workflow with Trello
How eGuide streamlined event planning operations by giving the owner a birds-eye-view with Trello.
Overview:
A wedding day is one of the most important days of a person’s life. For a wedding planner a wedding translates into doing everything in their power to ensure that day goes flawlessly by calculating every detail down to the last place setting and votive candle. So when were connected with Olive Fine Weddings, a growing wedding planning company, we were tasked with the challenge to streamline the wedding planning process and to allow the firm to see all planning projects at a glance.
Approach:
Analyze the Current Process: Wedding Planning comes down to logistics and project management, and a good wedding planner is one who can identify what needs to be planned, what is currently being worked on, and what is next in the planning process. Luckily for Olive Fine Weddings, they had all of the steps figured out and were already well versed in planning and executing, but what was lacking was a centralized operating system to manage multiple weddings simultaneously.
Translate Workflow Into Trello: With workflow at the core of our enhancements, we recommended introducing Trello to manage the sales, planning, and internal company projects. In creating a master Trello board we translated individual planning documents into a master planning template that could be customized per project. We generated a sales funnel that allowed a lead to be tracked to conversion and created a list of ongoing internal projects. The best part? Trello and all of the functionality mentioned here was free.
On Board Client: As our eGuide saying goes, “Technology is only as smart as the person using it”. So we combined our analysis and understanding of the current workflow to the on-boarding process of Trello tying in “like-for-like” steps within the new platform. The entire onboarding process was recorded and the reference videos were then added to the Trello Board for easy review.
Retainer Relationship: We approach all of our client relationships as partnerships and understand that the need of support may fluctuate depending on the client. For Olive Fine Weddings, Trello made sense, and following the initial onboarding, we had one additional retainer session to discuss more advanced features and “power-ups” within the software, and we keep the line of communication open to help with any other technology needs.

For a small business, every penny matters, and we enter every project with the annual spend in mind. Instead of introducing a bulky ERP or CRM system that requires hours of training, we utilize free tools like Trello to introduce concepts that will easily translate into larger platforms. It’s important to “right-size” the software the business is using to avoid investing in a platform that goes untouched. For Olive Fine Weddings, Trello was the right tool for the job and her business will grow with the platform until it’s time to expand further.
